Office Administrator Role for Southern Cross Flutes

Southern Cross Flutes is a successful artisan business based on the Kapiti Coast, selling high-end bespoke hand-crafted wooden Native American Style Flutes to customers all over the world.
This is your chance to be part of a small creative team with a growing loyal customer base. We are looking for an awesome and lovely new Office Administrator to support the day to day running of the business. With training and experience, there is potential to grow your skills into the Office Manager and Flute Advisor role.
This is a permanent part time role, working on site at the Flute Head Quarters in Raumati South, Kapiti Coast.

- Capable and comfortable with working to weekly rhythms and deadlines
- An excellent customer relationship champion, and able to problem solve where needed to ensure the customer receives the best possible outcome
- Adept at typing and data entry
- Highly capable of quickly learning digital tools such as, Google Suite (especially spreadsheets!), Basic Invoicing (Zoho Books and WooCommerce), Website Publishing (WordPress), and image software (Picasa)
- Comfortable with basic music theory (keys and scales)
- Willing to learn about the Native American Style Flute market and craft

- Office Administration
- Packaging and posting of flutes
- Digital photography and file management of images
- Emailing customers
- Communicating with the Flute Makers, and other advisory staff
- Support the procurement of office supplies when low
- Ensuring the Office is kept tidy and organised on a daily basis
- Customer Relationship Management
- Converting enquiries to sales, invoicing customers and tracking payments
- Keeping customers informed of any delays or issues
- Communicating with customers to ensure they receive photos of their finished flute, their postage details are correct, they receive their postage tracking information, and that their invoices are paid before posting
- Maintaining accurate and up to date spreadsheets of Sales and Customer data,
- Ensuring the Master Job Sheet is accurate and up to date
- Excellent Customer Service Skills are essential – we aim to delight our customers!

- The Flute Advisor role
- Answering customer enquiries and advising on best flute for customer (in liaison with the Chief Flutemaker), including learning how to attune to customer’s unique needs.
- Writing captivating and lead inspiring blog articles for our website about new flute products and flute playing.
- The Office Manager role
- Strategic management of the business
- Working to our Digital Marketing Strategy to ensure desired promotion and outreach of flutes is achieved.
Flute Headquarters
All work is to be completed on site, at Southern Cross Flutes Headquarters in Raumati South.
Office hours are within a 8.30am to 5.30pm, Monday to Friday window. Exact hours are flexible and can be negotiated within this window, distributing the hours evenly over 3 days a week.
Size and remuneration of role
The role will be sized based on the competency and experience of the successful candidate.
The Office Administrator role is expected to be up to 12 hours per week.
The extra responsibilities of the Office Manager & Flute Advisor role will equate to more hours, to be negotiated (maximum of 20 hours in total per week). The ideal candidate will be willing to be trained to take on more responsibilities.
The pay will be scaled based on the skills and competencies of the successful candidate.
The pay scale for the Office Administrator role is between $22 to $25 per hour. Initial training will be provided at $20 per hour as you will have the chance to observe the current Office Manager and be taken through the intricacies of our Customer Journey Flow.
The Office Manager & Flute Advisor role pay scale will be between $25 to $30 per hour. Annual bonuses will be awarded for consistent high performing sale conversions and high customer satisfaction.
